Initially Project 4.0 was developed for the needs of a company working in a Shipyard in Germany . It has been developed and improved under the influence of German requirements for innovation and quality.

The development of a management system in the Shipbuilding industry is a huge challenge due to the fact that the provided work is done on a distant work objects, requires constant movement of personnel from one site to another and the control over this movement and the work provided is a serious challenge. One is to develop and implement a control system for work in an office or hall, where everything is grouped into one place and quite another is a system of control over the halls scattered at a distance from each other, with the constant movement of personnel between them and with the constantly changing and dynamic production structure, such as shipbuilding.

Over time, this has led to the development of a project management system that is so accurate and precise, that it is able to carry out a real-time detailed analysis of each production process down to the last detail, including the productivity of the most important factor in a production - MAN !

Track the hours worked on different objects

Problem:

The first problem that the system had to solve was the accurate tracking of the hours spent on Projects.

Usually the work on the different projects overlaps in different months. This makes financial tracking of the results of this work difficult if there are no accurate statistics on the exact amount of work invested in each project.

For example, Project A, B and C were started together, but Project A ended within the first month and Project B and Project C the following month.

It is invoiced after the completion of the work on the Project.

In Month 1, projects A, B and C were worked on, but only Project A was invoiced. The costs are for the work on the three projects, but the revenues are from only one. Site A was successfully completed and within the planned hours, Project B realised an overspend of the planned hours, and Project C was made for the exact planned time.

After the first month of work, it seems that the company is in the red because the invoiced value does not correspond to the hours invested, the second month seems to be a plus, although this is not the case for all projects.

These are just 3 projects. And when 10 projects are implemented simultaneously, starting at different times, with different duration and different result?

Solution:

Over time, we have developed a system that not only tracks the hours worked on the various projects, but is also able to detail the execution to the smallest operation:

- To trace who worked, when and where.
- Accurately report the result of the work
- Analyze who made mistakes and who did well
- To analyze who has completed the task for the planned hours and who has not
- To prepare a summary analysis of the current result by months and years.

Results:

Implementing the Project 4.0 led to extremely accurate reporting of working hours, which in turn helped to prepare accurate and unbiased analyzes of the productivity of each employee. Another very important benefit was the even more accurate valuation of each work operation in terms of time and cost for the company.

The end result - a significant increase in productivity, andhence the profit for the company, many times exceeding the cost of using Project 4.0 .

Monitoring compliance with working hours

Problem:

With the onset of the Kovid 19 Pandemic and the worsening economic situation, it became clear that only the most adaptable would survive. Only those who optimize their processes so as to cope with the emerging economic challenges.

To explain what we mean we will give the following example:

A new worker enters the job. He is a smoker. He asks his future employer how many cigarettes a day he is allowed to smoke. Normally the answer should be: "A few!". But we are all human, some of us also smoke or have been ex-smokers. We are all human and we want to be human with understanding.

We can answer: "2-3 cigarettes as long as you do not overdo it is not a problem". Without wondering which smoker smokes only 2-3 cigarettes a day. Without realizing that once we have allowed 2-3, the worker will smoke at least 6-10. In the conditions of the Pandemic, the requirements for distancing the designated smoking areas can no longer gather many people, ie the worker will have to wait until it is his turn to light a cigarette with a possible coffee. That is, the average time of 10 minutes for one cigarette doubles to 20.
20 minutes on average 6 cigarettes = 120 minutes
That is, from the average 8-hour working day, the respective employee does not work for 2 hours, but they are paid by the employer.
With an average of 20 working days of 2 hours = 40 hours per month .

Let's continue the observed real situation further. Half of the employees in a company of an average of 30 people smoke, and the other half do not.
That is 15 x 2 hours per day = 30 hours per day or 600 hours per month

Okay, but the question is whether the other 15 employees who do not smoke and see that their colleagues are out of work, but still paid equally with them will be happy they work for 8 hours and are paid for 8 hours of work, while the colleague next to them actually works for 6 hours and is paid for 8. It is logical to say: "After he smokes, I will just rest!".

So, let's do the calculation again: 30 workers x 2 hours per day = 60 hours per day x 20 working days = 1200 working hours loss per month
These are paid but unworked hours. That is, for an average of 160 working hours per month, you pay 7.5 workers for nothing . What about insurance, vacations, work clothes and other incidental expenses for nearly 8 people out of 30 who do nothing? And only because we are good people. This means that the work you did well with 30 workers will now be done with 22 . You choose.

And with the loss of working time, we're not just talking about cigarettes. We all know how many more opportunities there are for deviating from work duties, and we have all heard excuses like - don't look at me for how long I rest, what matters is what I have done, I have fulfilled my obligations. Yes but no.

Solution:

Project 4.0 gives you full control over compliance with working hours and more - for real accounting of the hours actually worked.

Project 4.0 performs an average analysis of the productivity of each worker in relation to the time worked by him on the respective tasks and the result obtained. The system can tell very precisely who is really doing their job properly and who is not. Who deserves encouragement and who doesn't.

Results:

The introduction of the Project 4.0 leads to a significant increase in the actual time worked, to minimize the paid but "smoked" hours, to an accurate assessment of the work of each employee. All this brings a serious increase in labor productivity, and hence on the profit for the company, so vital in these difficult times.
