Assignment speed
Manual coordination makes distribution slower than it needs to be.
Unclear accountability
It's not always sufficiently clear who takes what and what remains to be tracked.
Execution fragmentation
Work moves through separate channels instead of one coordinated flow.
What Project 4.0 organizes
The platform connects task logic, employee context, reminders and status visibility so that managers can assign, rearrange and track execution with less tension and clearer accountability.
With a tree structure for tasks, QR code marking for projects and a template catalog — every project can be described down to the smallest detail, including unlimited subtasks, dynamic attributes and AI-generated tasks.
What better coordination looks like
- faster assignment
- clearer accountability
- better tracking
- less ambiguity in coordination
- Task Chat — direct communication in task context
Full task lifecycle
Every task in Project 4.0 goes through a structured flow of 6 statuses with clear transition logic:
Scheduled
Task is created with expected dates and times. Can be AI-generated or manual.
Pending
Depends on completion of another task or available resources.
Active
Work has started. AI monitors progress and compares with the plan.
Completed
Executor marks the task. Actual time is recorded automatically.
Cancelled
Task is stopped — the reason is recorded for analysis.
Archived
Historical record — accessible for reports and AI analysis.
Additional statuses: Expired (task overdue without completion) and Extra Work (additional work outside the original plan). Every transition generates a push notification to the responsible parties.
AI-assisted assignment
When the manager creates a new task, the system suggests optimal executors based on:
- AI performance analysis — who performs best on similar tasks
- Workload — current tasks and remaining capacity
- Qualifications — skills for the specific work type
- Location — proximity to the site (GPS-based)
- Risk score — avoiding assignments at high risk
For multiple executors — multi-employee assignment allows different deadlines for each team member.
Before and after: assigning 8 people to 3 sites
| Manual | With AI | |
|---|---|---|
| Assignment time | 45 min | 5 min |
| Assignment errors | 2–3/week | 0–1/week |
| Execution visibility | By phone call | Real-time |
| Team notification | 15 min (SMS/call) | Instant (push) |
Task Chat: communication in task context
Instead of coordination happening in a separate channel (WhatsApp, Viber, email), Project 4.0 enables direct communication inside the task itself:
- Every task has its own chat with AI translation in 8 languages
- File attachments — photos, documents, voice messages
- 6 mandatory reactions for coordination (confirmation, clarification, readiness)
- Communication history stays linked to the specific task
The result: less lost context, clearer accountability and full history for audits.

If your tasks and people are still being coordinated too manually, let's look at this in a specific workflow.
We'll show a practical scenario and assess whether a demo is enough or a direct operational conversation makes sense.
